Practice Manager/Studio Manager/Office Manager

£40,000 - £48,000 
We are collaborating with a renowned architecture practice in central London, celebrated for their high-end residential projects and expertise in historic buildings in Westminster, Kensington, Chelsea, and Camden. Established for 18 years, this tight-knit team of about 12 people is currently seeking a Practice Manager/Studio Manager/Office Manager to join them as soon as possible and for the right individual the salary can be improved.
The role can be approached in two ways: either as a full-time Practice Manager with marketing experience or as a part-time role (3-4 days a week) for someone without marketing expertise.
Skills & Responsibilities  

To effectively manage this role, strong organisational skills, intelligence, and the ability to manage upwards are crucial. The ideal candidate should be a multi-tasker, outgoing, and a team player.

Responsibilities include:
  • Office Supplies & Maintenance: Managing office supplies and coordinating facilities service visits.
  • General Admin Support: Handling phones, diary management, passwords, subscriptions, and liaising with suppliers.
  • Meetings: Organising weekly resource round-ups, bi-weekly practice meetings, and quarterly management meetings.
  • Policies and Procedures: Updating the Practice Handbook, reviewing and updating Risk Assessments, and ensuring H&S Compliance.
  • CPD Organisation: Booking, researching, and coordinating CPD activities, including lunch arrangements.
  • Accounts Admin: Managing filing, processing payments, and handling weekly and monthly payroll. Keeping track of bank transactions and overdue invoices.
  • Social Events: Organising office trips, birthdays, social events, and exhibition visits.
  • IT Management: Coordinating with an external IT company, managing software licenses, troubleshooting IT issues, and overseeing hardware.
  • HR: Liaising with an external HR firm, managing the induction process, approving staff absences, and being a point of contact for non-consequential HR issues. Implementing wellbeing activities, maintaining HR documentation, preparing policies, and conducting appraisals.
  • Recruitment Support: Providing administrative support for architectural recruitment.
  • Marketing and Business Development: Working under the marketing manager to oversee marketing and communications, including social media and the website. Assisting with resource allocation, post review, copywriting, SEO management, and project marketing. Supporting business development through client outreach.
This role demands a versatile individual capable of handling a wide range of tasks and responsibilities effectively.

This opportunity will allow for flexi time to allow for school pick up and drop offs.   

It is of utmost importance that prospective candidates are seeking a long term position as they will automatically join all other employees who have collective ownership of the practice after two years.

We anticipate this candidate will have experience of working for an Architecture practice or an interior design studio.
