About the Role
Interior Design Project Manager / FF&E Coordinator - High end private residential
Initially 6 month contract (5 days a week) with potential to extend
£40,000 - £50,000 or equivalent
Start date is June
We are seeking a highly organised and experienced FF&E specialist to join a small London-based design studio.
The role is primarily remote, with occasional in-person requirements. These include periodic travel within the UK and Europe for site visits and installations, as well as occasional coordination days in Hertfordshire relating to the studio’s physical sample library and materials organisation.
This is a rare opportunity to join a design studio operating at the top end of the market, delivering highly curated, design-led interior architecture and interiors for an international client base. The studio’s portfolio spans the UK, USA, Europe, and the Caribbean, with continued growth driven by PR, word of mouth, and repeat clients. The work is highly bespoke, with a strong emphasis on detail and craftsmanship, making it particularly suited to those experienced in UHNW private residential projects.
You will be supporting the studio during a key delivery phase across two fully bespoke, high-end residential projects (one UK-based and one international).
The role is primarily operational and coordination-focused, centred on procurement, logistics, scheduling, and maintaining programme alignment across both projects. You will work closely with the senior design team to ensure smooth delivery of complex, high-value interiors.
We are looking for someone extremely organised, proactive, detail-oriented, and calm under pressure, with strong experience in high-end residential interiors and FF&E procurement.

Key responsibilities include:
FF&E procurement & project administration
- Managing FF&E schedules, procurement trackers, and project documentation across Estimac and Excel-based systems
- Leading the end-to-end procurement process, including quoting, pricing, approvals, ordering, and delivery tracking
- Preparing and coordinating purchase orders for approval
- Reviewing supplier quotations against specifications, quantities, finishes, pricing, and purchase orders
- Maintaining clear oversight of procurement status, pending decisions, and at-risk items, ensuring alignment with programme
- Tracking supplier communications, invoices, orders, and delivery timelines, ensuring accurate records at all times
- Supporting FF&E budget tracking and procurement spend monitoring
- Managing replacements, damages, and returns where required
- Coordinating installation readiness as projects progress
- Acting as the day-to-day point of contact for suppliers, proactively chasing quotations, updates, and information
- Coordinating supplier and consultant site visits (e.g. joinery, upholstery)
- Liaising with contractors on site access, scheduling, and coordination
- Coordinating logistics and storage providers for deliveries, collections, and shipments
- Supporting international procurement and logistics, including European imports and customs coordination where possible
- Coordinating supplier invoices prior to submission to accounts
- Willingness to travel periodically within the UK and Europe to support installations and site delivery
- Ordering, tracking, and logging all material and finish samples
- Organising and clearly labelling samples by project and room
- Managing sample returns and maintaining a live sample log
- Supporting the organisation and upkeep of the studio’s physical sample library, including occasional coordination days in Hertfordshire
- Maintaining live decisions trackers and ensuring timely resolution of outstanding items
- Tracking contractor information requests and coordinating responses
- Preparing meeting agendas, action lists, and follow-ups where required
- Maintaining and updating internal supplier database and contacts
- Proven experience in high-end residential interior design or project coordination
- Strong FF&E procurement and supplier management experience
- Advanced proficiency in Excel / Google Sheets and detailed tracking systems (Estimac strongly preferred)
- Highly organised, proactive, and process-driven approach
- Experience managing complex bespoke residential projects
- Experience with international procurement and logistics highly beneficial
One important aspect of this role is continuity and stability through the key delivery and installation phases, so we are looking for someone genuinely interested in embedding themselves within the projects rather than taking a short-term or stopgap approach.
